Weather Guidelines
Updated: January 8, 2026
The Kacie’s Run Committee prioritizes the safety of all participants, with a specific focus on the student volunteers who play a central role in the execution of our race. The following guidelines outline our protocols for inclement weather and event cancellation.
1. Decision Timeline & Communication
● Day-Before Decision: If reliable forecast sources predict inclement weather overnight or during the morning of the race, the Committee may make a decision to postpone the event the day before race day. This proactive measure is taken primarily to ensure the safety of our student volunteers and setup crews.
● Race-Day Decision: If weather develops unexpectedly, a decision to delay or cancel the race will be made on-site by at least two committee members, including Chairperson Mary Mahaffey and a representative from the Athletics Department.
● Monitoring: Weather will be monitored by the on-site Athletic Trainer. A dedicated radar station will be maintained in the Athletics Office.
● Notification: Any race-day changes will be communicated to attendees via the PA system. Day-before decisions will be communicated via email and official social media channels.
2. Safety Protocols
● Lightning Policy: The race will strictly adhere to the CFBISD Lightning Policy.
● Emergency Shelter: Should inclement weather necessitate moving people temporarily: Student Volunteers & Unaccompanied Minors: Must move immediately to the tunnel. General Participants: Should return to their vehicles. Overflow: The Mary Grimes Education Center will serve as the secondary overflow facility for weather protection.
3. Rain Date & Refund Policy
● Alternate Date: In the event of a cancellation, the race will be moved to a designated Rain Out Date.
● Registration Transfer: All registrations will automatically transfer to the new date.
● Refunds: As this is a charity event with fixed costs, Kacie’s Run will pay all vendors even if the event is cancelled. No refunds will be provided for the original date. If the alternate "Rain Out Date" is also cancelled due to weather, registration fees will be considered a donation to the cause, and no refunds will be issued.
4. Event Authority
Kacie’s Run reserves the right to delay the start or cancel the course entirely in the event of an emergency or unsafe conditions to protect the wellbeing of our students and community.
Should weather conditions make it necessary to postpone the event, we have reserved Saturday, April 25, 2026, as our official rain date.
